These Booking Terms & Conditions ("Terms") govern all bookings and reservations for private charter transportation and related services offered by HuaRenRental.com, operated by Carefree Charters LLC ("HuaRenRental," "we," "us," or "our"). By submitting a booking inquiry, accepting a quote, confirming a reservation, or using our services, you ("Customer," "you") agree to these Terms. Please read them carefully before booking.

By requesting a quote, confirming a reservation, submitting payment, or using HuaRenRental's transportation services, you acknowledge that you have read, understood, and agree to be bound by these Terms, as well as any service-specific details in your written quote or booking confirmation.
If you are booking on behalf of a group, company, or other individuals, you represent that you have the authority to bind all members of your party to these Terms and that you will inform them of the applicable policies, including the cancellation policy described below.
An inquiry, a request for pricing, or a quote provided by HuaRenRental does not, by itself, reserve a vehicle, driver, or service time. A reservation becomes confirmed only when (a) HuaRenRental confirms the booking in writing (by WeChat, email, or other written confirmation), and (b) any deposit required for that booking has been received.
Deposits vary by booking and may depend on the vehicle requested, date, itinerary, duration, group size, and other booking requirements. HuaRenRental does not apply a single fixed deposit amount or percentage to all bookings. The applicable deposit amount, remaining balance, and payment schedule for your specific reservation will be stated in your written quote or booking confirmation, and that document controls for your booking.
Full payment terms, accepted payment methods, and any balance-due deadlines will also be set out in your written quote or booking confirmation.
We know travel plans shift. Here's exactly how refunds work, spelled out in hours — not vague language.
3.1 Cancellation deadline. To receive the refund treatment described below, a Customer must cancel a confirmed reservation at least 72 hours before the scheduled service start time. For clarity, this is a 72-hour deadline measured in hours, not a general "3 day" or calendar-day rule.
3.2 Cancellations 72 hours or more before service. Amounts already paid may be refunded, less any actual non-refundable third-party costs, reservations, permits, payment-processing costs, or other booking expenses that HuaRenRental has already committed on your behalf and that are not reasonably recoverable.
3.3 Cancellations less than 72 hours before service. Deposits and other amounts reasonably committed to your reservation may be non-refundable. This is because, by the time a cancellation is made within this window, the driver, vehicle, and service time have already been reserved specifically for your booking, and HuaRenRental may have declined other bookings for that same date and time as a result.
3.4 Same-day cancellations and no-shows. For a cancellation made on the day of service, or if the Customer or Customer's party fails to appear for a scheduled pickup without timely cancellation (a "no-show"), HuaRenRental may retain amounts reasonably necessary to cover the reserved vehicle, driver time, third-party commitments, and other losses reasonably associated with the reservation, to the maximum extent permitted by applicable law.
3.5 How to cancel. Cancellations must be submitted in writing via WeChat, email, or phone followed by written confirmation, to the contact information in Section 21. The cancellation is effective when HuaRenRental receives and acknowledges it, not when it is sent.
A request to change the date or time of a confirmed reservation is subject to vehicle and driver availability and is not automatically guaranteed. HuaRenRental will make reasonable efforts to accommodate reschedule requests but cannot guarantee that the original vehicle, driver, or rate will remain available for a new date or time.
If a requested change is material and made on short notice, and the original vehicle and driver reservation cannot reasonably be adjusted to accommodate it, HuaRenRental may treat the request as a cancellation of the original booking, subject to the cancellation terms in Section 3.
For services billed by the hour, billable time is based on the scheduled and actual service time and does not automatically stop because of Customer delays. Passenger lateness, baggage delays, restaurant or meal delays, delays at attractions or venues, extended stops, and waiting time may count as billable service time where applicable, consistent with the terms in your booking confirmation.
Billing works the way you'd expect: honest, hour-for-hour, with no guessing games.
Where specified in your booking confirmation, billable time for airport service begins when the driver departs to travel toward the airport.
The following are included in billable service time where applicable: driving time to the airport; time spent staging or waiting at the airport; time spent waiting for the passenger to arrive or exit the terminal; and driving time after passenger pickup.
Vehicle-specific minimum-hour requirements for airport and regular service are shown in your quote or booking confirmation and vary by vehicle type. A minimum-hour rule that applies to one vehicle type does not automatically apply to other vehicle types unless stated in your booking confirmation.
Your confirmed quote is based on the itinerary, timing, vehicle, passenger count, and service requirements agreed at the time of booking.
Additional stops, extended waiting time, late departures, route changes, or other additional service time beyond what was confirmed may result in additional charges at the applicable rate stated in your quote or booking confirmation.
HuaRenRental is not obligated to extend service beyond the confirmed booking when the driver or vehicle is not available to do so, or where extending service would violate applicable safety or operating requirements (including hours-of-service or similar regulatory limits).
Any travel time, arrival time, or itinerary duration provided by HuaRenRental — whether in a quote, booking confirmation, or during service — is an estimate only.
HuaRenRental does not control, and is not responsible for delays caused by, traffic conditions, collisions, road closures, construction, airport congestion, security procedures, severe weather, government restrictions, national park restrictions or closures, or similar events outside HuaRenRental's reasonable control.
Customers are responsible for allowing adequate travel time for flights, trains, reservations, events, and other time-sensitive plans, and should build reasonable buffer time into their schedule.
HuaRenRental provides transportation services. HuaRenRental does not own, operate, or control, and is not responsible for, third parties including airlines, airports, hotels, national parks, wineries, restaurants, venues, ticket sellers, government agencies, or other independent third parties.
The operating hours, admission rules, reservation requirements, fees, closures, and policies of such third parties can change without notice and are outside HuaRenRental's control.
Unless expressly included in writing in your quote or booking confirmation, admission tickets, park entrance fees, permits, meals, lodging, parking fees, tolls, and other third-party charges are not included in HuaRenRental's pricing and remain the Customer's responsibility.
This exists for the rare case your exact vehicle can't make it — and it only ever means a comparable or better replacement, never a downgrade from what we promised in writing.
HuaRenRental will make reasonable efforts to provide the vehicle type confirmed in your booking.
If the reserved vehicle becomes unavailable due to safety concerns, mechanical issues, an accident, scheduling conflicts, or other unforeseen circumstances, HuaRenRental may provide a comparable or higher-category replacement vehicle when one is reasonably available.
This section does not override an express, specific, written material commitment in your booking confirmation (for example, a confirmed vehicle model year such as "2025 or newer"). Where such a specific written commitment exists and cannot be met, HuaRenRental will notify the Customer and offer reasonable options, which may include a comparable upgraded vehicle, a rescheduled booking, or a refund of amounts paid for the portion of service affected.
The vast majority of our trips never need this section. It exists to keep every passenger — including yours — safe.
The driver has final authority over the safe operation of the vehicle. The driver may refuse service, modify the route or itinerary, suspend service, or terminate service when reasonably necessary for safety or legal compliance.
The following are prohibited during service: threatening or abusive conduct toward the driver or others; intentional damage to the vehicle; illegal activity; smoking or vaping where prohibited; possession or use of illegal drugs; other dangerous conduct; passenger numbers exceeding the vehicle's legal seating capacity; and requests that would require the driver to drive unsafely or in violation of law.
If service is terminated due to a violation of this Section, HuaRenRental may retain amounts paid to the extent reasonably necessary to cover costs and losses associated with the reservation, to the maximum extent permitted by applicable law, and is not obligated to provide a refund for the unused portion of service.
The booking Customer is responsible for reasonable, documented repair, cleaning, replacement, towing, or related costs caused by the Customer or members of the Customer's party, beyond ordinary wear and tear.
Extraordinary cleaning resulting from vomiting, bodily fluids, excessive spills, smoking, or similar conditions may result in reasonable cleaning charges, based on documented actual costs.
Customers remain responsible for their own passports, phones, luggage, cash, jewelry, and other personal belongings at all times.
HuaRenRental will make reasonable efforts to return property left in a vehicle but does not guarantee recovery of lost or left items.
A Customer requesting the return of found property may be responsible for reasonable shipping or delivery expenses associated with returning that property.
Nobody controls the weather or a wildfire closure. Here's how we work through it together when it happens.
HuaRenRental will not be liable for failure to perform, or delay in performing, any obligation under these Terms to the extent such failure or delay is caused by circumstances reasonably outside HuaRenRental's control, including severe weather, wildfire, flood, road closure, government action, public emergency, airport shutdown, strikes or labor disputes, civil disturbance, national park closure, unexpected mechanical failure despite reasonable maintenance, or other similar events ("Force Majeure Events").
Where a Force Majeure Event affects a booking, HuaRenRental will work with the Customer on reasonable options appropriate to the situation, which may include itinerary modification, substitute transportation, rescheduling, a credit toward a future booking, a partial refund, or cancellation. The specific remedy will depend on the nature of the event and the booking, and HuaRenRental does not guarantee that any one specific remedy will apply to every situation.
This section is standard for any licensed transportation provider. It does not limit any right you have under California law — see Section 17.
To the maximum extent permitted by applicable law, HuaRenRental's total liability arising out of or relating to a booking or these Terms is limited to the amount actually paid by the Customer for the specific service giving rise to the claim.
To the maximum extent permitted by applicable law, HuaRenRental will not be liable for indirect, incidental, special, exemplary, or consequential damages, including missed flights or connections, lost event admission, lost wages, or similar losses, particularly where such losses are caused by circumstances outside HuaRenRental's reasonable control as described in Sections 8 and 14.
Nothing in these Terms limits or excludes any liability that cannot lawfully be limited or excluded under applicable law, including liability for fraud, intentional misconduct, or willful injury, or any liability arising from a violation of mandatory passenger-carrier safety obligations.
This only applies if you or your party cause real damage or break the law — never for ordinary use of the service.
To the extent permitted by applicable law, the booking Customer agrees to be responsible for, and to reimburse HuaRenRental for, claims, losses, damages, or expenses (including reasonable costs) arising from unlawful conduct, intentional misconduct, vehicle damage, or a breach of these Terms by the Customer or a member of the Customer's party.
This section applies only to losses caused by the Customer's or the Customer's party's own conduct as described above and does not require the Customer to be responsible for losses caused by HuaRenRental's own negligence, willful misconduct, or violation of law.
HuaRenRental (Carefree Charters LLC) provides charter transportation services in California and maintains commercial insurance and operates in accordance with applicable California passenger-carrier requirements, including those administered by the California Public Utilities Commission (CPUC).
Nothing in these Terms is intended to, or does, override, waive, or limit any right or protection provided by California law, CPUC regulations, mandatory insurance requirements, vehicle safety requirements, or other applicable law. If any provision of these Terms conflicts with mandatory law, the mandatory law controls, and the remaining provisions of these Terms remain in effect.
These Terms may be accepted electronically. Where a booking or payment process includes a checkbox or similar confirmation stating "I have read and agree to HuaRenRental's Booking Terms & Conditions and Cancellation Policy," checking that box or otherwise proceeding with a booking after being presented with these Terms constitutes acceptance of these Terms.

These Terms are provided in English and in Chinese (Simplified) for Customer convenience. HuaRenRental intends for the English and Chinese versions to have the same meaning and effect. A Customer's use of the English-language version of the site, or communication with HuaRenRental in English, does not by itself waive the availability or applicability of the Chinese-language Terms.
If you believe there is a discrepancy between the English and Chinese versions of these Terms, please contact HuaRenRental using the information in Section 21 before booking so that we can clarify the applicable terms.
HuaRenRental may update these Terms from time to time. The version of these Terms in effect at the time a reservation is confirmed applies to that reservation. The "Last Updated" date and "Terms Version" shown near the top of this page indicate the most recent revision.
